Introduction
The KYC Policy governs identity verification, customer due diligence, and related AML controls for Xhjili. This Policy applies to all users who access or use Xhjili’s online gambling services and services related to deposits, withdrawals, or account management. By registering or continuing to use the platform, you acknowledge and consent to the checks and data processing described herein.
Scope and Purpose
The purpose of this Policy is to prevent fraudulent activity, money laundering, and the funding of illicit activity, and to ensure compliance with applicable laws governing online gambling. The Operator conducts identity verification and ongoing monitoring in a risk‑based manner to confirm identity, assess risk, and maintain accurate account information.
Definitions
- Legal Age means the minimum age required to participate in gambling activities as defined by applicable law in the user’s jurisdiction, and must be 18 years or older for eligibility with Xhjili.
- Know Your Customer (KYC) refers to identity verification, due diligence, and related data collection and assessment activities.
- Due Diligence (DD) is the process of collecting information and verifying identity and risk factors for a customer or transaction.
- Source of Funds means the origin of the funds used for deposits and play, including earnings, savings, gifts, or other identifiable inflows.
- Source of Wealth refers to the overall composition of a customer’s wealth, including the provenance of large balances or ongoing funds.
- Politically Exposed Person (PEP) means an individual who holds or has held a significant public office, or a family member or close associate of such a person.
- Enhanced Due Diligence (EDD) denotes additional verification measures applied to higher‑risk customers or transactions.
Verification Triggers
- On onboarding or when changes to personal data occur (name, address, date of birth, citizenship).
- Suspicion of fraudulent activity, money laundering, or other criminal activity.
- Unusual or high‑risk transaction patterns or risk indicators identified by monitoring systems.
- Requests for withdrawal or activity requiring additional screening under compliance requirements.
Minimum Data and Documentation
The following data and documents are the minimum required for verification, and may be requested in conjunction with other reasonable checks:
- full legal name, date of birth, citizenship, permanent residential address, and a unique identification number (as provided by government or official documents).
- a government‑issued photo ID (e.g., passport, national ID card, or driver’s license).
- a document showing the name and current address (issued within the last three months), such as a utility bill or bank statement.
- additional national identity card, or a selfie with the presented ID to confirm identity in real time.
Proof of Payment and Source of Funds
Xhjili may require documentation to verify the source of funds used for deposits and gambling activities. Acceptable materials include:
- Payslips or official remuneration statements.
- Bank statements showing steady inflows from identifiable sources.
- Official confirmations of awards, dividends, pensions, or trusts demonstrating entitlement to funds.
- Documentation proving a legitimate transfer of funds (e.g., transfer receipts, investment statements).
Submission and Review Timelines
Documents must be submitted through the secure verification portal. Xhjili will review submitted materials in a timely manner, with standard verification completed within five (5) working days from receipt, and enhanced due diligence completed within fourteen (14) working days where applicable. The Operator may request additional documents if needed to complete verification.
Document Quality and Acceptance Criteria
- Documents must be legible, valid, and issued to the account holder’s name and address.
- Names, addresses, and dates of birth must match the information on the user’s Xhjili account.
- Documents that are expired, altered, damaged beyond readability, or not among accepted forms will be rejected.
- In cases of doubt, staff may request supplementary documentation or additional verification steps.
Due Diligence, Ongoing Monitoring, and Enhanced DD
The Operator will apply DD to all customers and will intensify verification for higher‑risk cases. Ongoing monitoring includes reviewing transactions for suspicious activity, investigating inconsistencies, and maintaining updated records. If risk factors exceed a defined threshold, Enhanced Due Diligence will be initiated, potentially including deeper source of funds analysis and extended documentation requirements.
Anonymous and Multiple Accounts
Anonymous or nominal account records are not permitted. Where identity cannot be established or where multiple accounts appear to be controlled by the same individual, the Operator will take appropriate DD steps. The creation or maintenance of duplicate or linked accounts may result in the cancellation of additional accounts, forfeiture of winnings, and return of deposits to the responsible account holder.
Politically Exposed Persons (PEP)
PEP status triggers a risk‑based approach. PEPs, their family members, and associates may be subject to enhanced verification. The Operator reserves the right to decline or terminate services if PEP risk cannot be adequately mitigated or if required disclosures cannot be provided.
Age Verification and Consequences of Underage Activity
Users must be at least the legal gambling age in their jurisdiction and at least 18 years old to participate. If it is determined that an individual gambled or transacted while under the required age, Xhjili may close the account, void transactions conducted during the period of underage activity, and return deposits. Winnings accrued during that period may be forfeited, and funds withdrawn during that period may be reversed as permitted by law and policy.
Account Restrictions During Verification
During the KYC process or when verification is pending, deposits and withdrawals may be subject to limits determined by risk assessment. Once verification is completed, standard limits and processing terms will apply in accordance with the policy and applicable laws.
Data Privacy, Security, and Retention
All personal data collected under this Policy is processed in accordance with Xhjili’s Privacy Policy and applicable data protection laws. Data is stored securely, access is limited to authorized personnel, and retention periods align with legal and regulatory requirements. Documents may be retained for as long as necessary to fulfill compliance obligations and then securely destroyed or anonymized.
User Rights and Responsibilities
Users have the right to access, rectify, or request deletion of personal data held by Xhjili, subject to legal and regulatory limitations. Users must provide accurate information and promptly report changes to the Operator to maintain data integrity and account validity.
Policy Updates and Communication
The Operator may update this Policy. Material changes will be communicated within the user interface and will become effective no sooner than two weeks after notice unless required sooner by law. Continued use of the platform after the effective date constitutes acceptance of the revised terms.
Compliance and Support
Xhjili adheres to applicable anti‑money laundering and counter‑terrorism financing laws and regulations through its KYC program. For assistance with verification or questions about this Policy, users should contact Xhjili support via the platform’s official channels.
